The type of personal information we collect: 

We currently collect and process the following information:

· Your personal identifiers such as name, address, telephone number and e mail address.

· Any details you have given to us about your dog, such as his/her name, age, breed, colour, gender.

· Any details of the grooming process used on your dog.

How we get the personal information and why we have it:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

· Staff, customers, dogs and premises safety.

We also receive personal information indirectly, from the following sources in the following scenarios:

· Closed Circuit Television (CCTV) installed in Dog Scents premises. Cameras are located at various places on the premises, and images from the cameras are recorded.

We use the information that you have given us in order to ensure the safety of all salon users and employees.

We may share this information with law agencies, and relevant legal representatives in relation to a specific criminal enquiry.

The press/media in specific circumstances such as identification of a victim of a crime. The wishes of the victim would be taken into account in this circumstance.

People whose images have been recorded and retained (unless disclosure to the individual would prejudice criminal enquiries or criminal proceedings.

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information are: 

(a) Your consent. This basis is found in Article 6 (1a) of the UK GDPR.

You are able to remove your consent at any time. You can do this by contacting Mrs E Holding via the Dog Scents e mail address of dogscentsinfo@gmail.com 

How we store your personal information: 

Your information is securely stored. 

All customer hard copies of the consent form/dog record cards are kept in a locked filing cabinet.

All employee hard copies of records relating to their employment with Dog Scents are kept in a separate locked filing cabinet.

The UK Limitation Act 1980 provides for a six year time limit for contractual claims so all employee records are kept for at least that period after leaving Dog Scents.

Employee payroll records are kept on a password protected computerised accounting system.

The Taxes Management Act 1970 provides for payroll records to be kept for six years from the end of the tax year to which they relate.

CCTV images are kept for 28 days. The images auto delete at the end of 28 days.

Your legal rights:

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
